We’re hiring a Casual Company Secretary / Minute Taker
For Purpose Advisory is hiring a casual Company Secretary / Minute Taker. The Company Secretary / Minute Taker must be a reliable, energetic, confident and attentive person who is able to commit to casual work during and outside of regular business hours.
The Company Secretary / Minute Taker will work with For Purpose Advisory’s Director, Hannah Rose, and Practice Coordinator, Leah Harman, to provide company secretary services for not-for-profit organisations and charities. This includes assisting these organisations with the preparation of papers for Board or Committee meetings, taking minutes of those meetings, maintaining relevant records for these organisations and maintaining a register of actions to assist meeting attendees to keep track of tasks that have been delegated to them.
The role will be casual in the first instance, with the possibility of moving to permanent part time and then full time as For Purpose Advisory grows. This fantastic opportunity will also allow you the flexibility to work from home. Attendance at meetings will be via zoom.

Qualifications and experience
The candidate must have:
• great listening and writing skills (experience taking minutes of meetings desirable but not essential);
• a commitment to high work standards and strong attention to detail;
• a strong client service orientation;
• an ability to demonstrate initiative and proactivity;
• excellent communication and general research skills;
• an ability to work well in a team environment and alone;
• an ability to present content confidently; and
• a willingness to learn.
We anticipate that the ideal candidate will be a University student undertaking a relevant degree (such as a law degree) or have experience as a legal secretary or executive assistant.
Responsibilities
Main responsibilities include undertaking company secretarial duties for clients as required from time to time including:
o arranging and co-ordinating Board or committee meetings;
o sourcing and setting agenda items with the Board or committee Chairperson (or other nominated Director) and the CEO;
o compiling and circulating the agenda and associated documentation in the timeframe agreed with the client;
o taking and finalising minutes of the meetings outlined above;
o maintaining a list of actions and accountabilities of Board members (or the CEO) arising out of meetings;
o maintaining accurate records for our client from the information provided to us or prepared by us, including agendas, supporting material and meeting minutes;
o maintaining attendance registers from meetings; and
o other governance assistance as required from time to time.
